The BTS role is the newest and most exciting position in the Storybook family. It's flexible, ever-growing, and designed for someone who wants to become a long-term, key player in this company. The more you put in, the more this role becomes yours.

  • Your primary focus is behind-the-scenes prep โ€” costumes, wigs, party supplies, and event readiness
  • You make the process smooth for our actors and actresses so they can focus on performing
  • You help instruct and guide fellow performers โ€” your experience matters
  • You assist with Birthday Club, client follow-ups, and phones when needed
  • You prep for Photo Booth, Bubble & Foam events, Science Shows, and more
  • You get first dibs on desirable gigs โ€” this role is rewarded with opportunity
  • You can work as a Fantasy Stylist at the Station for parties if you choose

  • This position is not fully formed โ€” that's intentional. It grows as you grow
  • Tasks will be handed to you over time as trust and skills develop

2 Basic Suitcase & Drop-In Bag Prep โ–ผ

A well-packed bag is a smooth event. Performers should never arrive at a gig scrambling for supplies. Your prep is what makes that possible.

๐Ÿงณ Suitcase Prep
  • Review the booking in Peek โ€” confirm services, package, and any special requests
  • Pack supplies according to the event type โ€” face paint, glitter tattoos, balloon kit, etc.
  • Check that everything is fully stocked โ€” no half-empty bottles or missing items
  • Make sure all supplies are clean, organized, and labeled
  • Double-check against the event booking before the performer picks up the bag
๐Ÿ‘œ Drop-In Bag Prep
  • Drop-in bags are for smaller, quick-turn events โ€” keep them lean and ready
  • Restock after every use โ€” don't leave it for the next person to discover it's empty
  • Keep a running list of anything that needs to be replaced or refilled

3 Costume Prep & Sign-Out Forms โ–ผ

Every costume that leaves the building must be accounted for. The sign-out process protects our inventory and keeps everyone responsible.

โœจ Costume Prep
  • Pull the correct costume(s) for each event well in advance โ€” not day-of
  • Inspect every piece: no stains, tears, missing accessories, or odors
  • Steam or spot-clean as needed before it goes out
  • Pair the costume with the correct wig, accessories, and any character props
  • Have it hung, covered, and ready for the performer to pick up
๐Ÿ“‹ Sign-Out Process
  • Every costume must be signed out before it leaves โ€” no exceptions
  • Log the costume name, event date, performer name, and condition at sign-out
  • When returned, inspect immediately and note any damage before signing it back in
  • If something comes back damaged, flag it right away โ€” don't just put it back in rotation

4 Event-Specific Prep โ–ผ

Different events need different prep. Know each one well enough to handle it independently โ€” that's what makes you indispensable.

๐Ÿ”ฌ Science Show Prep
  • Review the science show package booked โ€” confirm which experiments are included
  • Gather all supplies and check quantities โ€” nothing should run out mid-show
  • Pre-measure or pre-mix anything that needs it ahead of time
  • Pack the kit neatly and in order of use so the performer can flow through it smoothly
  • Check that the costume and lab coat are clean and ready
๐Ÿซง Bubble & Foam Prep
  • Check solution stock โ€” bubble and foam events use a lot; never go out low
  • Inspect all equipment: blasters, wands, machines โ€” everything should be tested and working
  • Power bags charged and loaded for foam machine events
  • Pack foam powder bags and any accessories
  • Load everything into the transport bag/cart organized and ready

  • Confirm the custom frame design is completed and uploaded in the Photo Booth dashboard
  • Set up the gallery in the system before the event
  • Follow up with the client on backdrop choice โ€” note it in Connecteam
  • Charge the WiFi block and load it into the suitcase
  • Check paper and ink stock โ€” reorder if running low

  • Verify all face paints are stocked, clean, and in good condition
  • Check glitter tattoo kits โ€” glitter, stencils, adhesive, and sealant all present
  • Pack brushes, sponges, and water cups neatly
  • Confirm the performer has their full kit before leaving
  • Restock anything used after every event โ€” don't leave it depleted for next time

5 Managing the Birthday Club โ–ผ

The Birthday Club is one of our most personal client touches. Every child who gets a birthday surprise from Storybook remembers it โ€” and so does their family.

๐ŸŽ‰ New Sign-Ups
  • Monitor the Birthday Club Signup form in Typeform for new submissions
  • Log new sign-ups in the Birthday Club Addresses spreadsheet
  • Verify address, child's name, birthday, and age โ€” flag anything incomplete
  • Remove children who have turned 7 or older from the active list
๐Ÿ“ฆ Monthly Prep & Send-Outs
  • At the start of each month, pull the list of upcoming birthdays
  • Prepare birthday cards โ€” fill out each one personally with the child's name
  • Mail cards with enough lead time to arrive before or on the birthday
  • Track which cards have been sent each month โ€” no child gets missed

6 Membership & VIP Box Preparation โ–ผ

VIP members are our most loyal clients. The unboxing experience matters โ€” it should feel premium, personal, and magical every single time.

  • Pre-make VIP boxes as new memberships come in โ€” don't wait until the last minute
  • Fill out membership cards with the child's name โ€” make it feel personal
  • Include all items for the correct membership tier โ€” double-check against the tier list
  • Boxes should be mailed out within 3 days of membership purchase
  • Log each box sent โ€” date mailed and member name

The Princess of the Month is an exclusive members-only perk. These videos are personal, magical, and must be handled with care and timeliness.

  • Film the Princess of the Month video during the last week of the month for the following month
  • The actress filming the video may be eligible for a bonus โ€” confirm with management
  • Once filmed, send the personalized shoutout video to the member's parents
  • Track which videos have been recorded, sent, and confirmed received
  • If a member hasn't received theirs, follow up proactively โ€” don't wait for them to ask

8 Costume Care, Cleaning & Character Management โ–ผ

Our costumes are the product. Keeping them clean, maintained, and organized is one of the most important things BTS does.

๐Ÿงบ Cleaning & Maintenance
  • Spot-clean costumes after every use โ€” don't let stains set
  • Steam regularly to keep costumes looking fresh and wrinkle-free
  • Use fabric-safe cleaning products only โ€” check labels
  • Store costumes hung, covered, and organized by character
  • Wigs should be brushed, restyled, and stored on wig heads after every use

  • Keep a running list of costumes and wigs that need repair, restyling, or replacement
  • Note the specific issue โ€” loose seam, broken zipper, wig tangling, missing piece
  • Flag anything that can't go out in its current condition โ€” pull it from rotation
  • Track where each costume is stored so nothing goes missing
  • Report replacement needs to management with enough lead time to order

9 Keeping Up with Entertainment Party Supplies โ–ผ

Running out of supplies on event day is never an option. Staying ahead of inventory is a core BTS responsibility.

  • Check entertainment party supplies regularly โ€” don't wait until something is completely gone
  • Use the Supply Needs List in SBTOOLS to flag anything running low
  • Be specific โ€” note the item, quantity needed, and urgency
  • Management and the office will review the list for ordering โ€” your job is to keep it accurate
  • When new stock arrives, verify it and update the list accordingly
